Multiple manufactures across different categories are invited to send their products to one location for collation and onward distribution. Once we have a good understanding of the objectives, we can engage with the key stakeholders in the business to ensure the needs of the workers. A Clares account manager will consult with end users before any plans are produced so that we can fully consider the whole organisations needs.

As part of our full suite of office interior solutions, we provide a range of design and drawing services.
A layout plan is produced by Clares furniture CAD planners using AutoCAD technologies to realistically recreate environments to accurately visualise the product in the environment. The designer takes the full brief from an account manager and end user meetings to ensure all drawing designs meet the end user objectives and complies to current planning legislation. 2D plans should give you all the information required on how the spaces work with the proposed furniture layouts from a bird’s eye view.
An agreed layout is usually reached within 2 - 4 revisions. For larger project planning, 3D and virtual images are available. A great workplace should create a unique identity and culture for an organisation. It should assist with staff retention and recruitment and provide the correct environment to increase productivity and encourage collaboration. Space planning is significantly more than understanding the physical number of people and desks required in an office space and at Clares, we have the expertise to help create the right environment for you.

Our collaboration with key stakeholders does not stop at design. Generating an enthusiastic attitude and sharing the excitement of an office refurbishment or relocation goes a long way to delivering a successful project. By involving stakeholders and remaining approachable during the process, we are often able to gather feedback from everyone involved and gain general agreement for the plans.
We often recommend creating a communications strategy with information, samples, images and mood boards to introduce the changes, motivate employees and promote the new and improved space. This provides a sense of involvement which is critical to productivity and loyalty, and creating a space that employees will want to work at.
Clares use comprehensive project management capabilities that combine a powerful, proven approach, aligned with industry best practices and delivered by professional project managers operating to Prince 2 methodology. We are proactive at managing risk and identifying any potential obstacles on a project. We provide daily onsite management for the coordination of delivery and installation services. The Clares project manager, in conjunction with key stakeholders, will build and manage a formal rollout plan which includes:
Scope and agree project with client
Proofing of all supplier information
Designing and agreeing project plans
Schedule and attend client meetings
Monitoring of overall progress and time lines
On larger installations, our project managers will take control from the initial phase of space planning right through to the final installation and sign off. We will work with your team to ensure that space is being optimised across working areas, meeting rooms, break-out areas, facilities, storage needs, along with any other requirements you may have. We will liaise with all of the relevant parties, ensuring that order dates to meet lead times are fully understood and communicated.
Having established these needs, work will begin on producing an optimised layout to present back to your team. Whilst you are likely to be trying to achieve a consistent look and feel, we will ensure that we remain on-brand across your estate whilst also balancing the varying requirements that each site is likely to have.
Once a final layout has been agreed, we will manage your furniture through production, ensuring that we are on track to meet your required installation dates.
Prior to installation our project manager will perform a pre-installation visit in order to gain a good understanding of the site and to check for access and any health and safety issues. At this stage it is important that both parties have a clear understanding of what needs to occur during the installation. For secure sites, there may well be additional information that needs to be supplied in advance of any installers coming to site. The project manager will work with your nominated contact on a section by section sign off as the works are completed and follow up with any small snagging issues should they arise.
Finally, once all of the furniture is installed, the project manager will look to get a final sign off and invite any feedback on how the works have been completed.
