Scope

To partner with The Business Supplies Group (BSG) to provide a controlled managed print environment for Dorset HealthCare University NHS Foundation Trust (DHU). We will provide a fully managed Walk-in-Takeover solution to the Trusts 2,380 printer copiers and multifunctional devices to 360 locations.

 
 

High level Summary of Requirements

  • Fixed annual pricing for the life of the contract

  • No Capital expense from Trust

  • Supplier to upgrade and replace printers at their cost

  • Supplier to provide an onsite break fix service to agreed SLA’s

  • Supplier to provide a just in time automated consumable solution

  • Contract to have Full VAT reclaim ability

Summary of Financial benefits

  • Stop unrestricted access to printing to reduce spend

  • Consolidate the fleet to large MFP (supplier owned) no capital expenditure

  • Restrict and reduce colour prints to reduce spend

  • Remove all Adhoc printer purchases and extend the current device life

  • Monthly fixed fee for an agreed volume of prints to help budgeting and reduce the volume of invoices

  • Remove all device leasing cost over the contract period

  • Consolidate all leasing to one contract and one bill

  • Supplier to remove all obsolete toners

  • Recharge to correct budget holder

Summary of Operational Improvements

  • Remove all ‘BAU’ IT engineer’s involvement in managing the current fleet

  • Automate toner and paper requests per printer to reduce multiple store cupboards and reduce toner consumption

  • Remove all transactional toner orders reducing purchase orders

  • Consolidate the fleet to large MFP to improve print speed and reliability

  • Supplier to provide proactive servicing to reduce down time and lost efficiency

  • Carbon neutral solution

Summary of Clinical Improvements

  • Implement a pull printing solution across the Trust to increase security of confidential documents and reduce volume of prints that are never collected at the device

  • Increase the use of papercut software to control the printing environment

  • Scan and edit to my folder - Multiple folders - Email ability

  • Higher SLA in place for critical devices
